Here are things to keep in mind while writing a cover letter for startups. just how much I love online shopping, but I thought a safer approach.

Let me cover the first question I often hear about cover letters before we go into tips for writing one: do you need to write a cover letter to apply for a job? Yes. Yes. Yes. Even if the job description doesn’t specifically ask for one, you need to write a cover letter to accompany your job application.

How to write a cover letter is the next question that almost always comes up during a job search, no matter how many cover letters you have written in the past. It seems that figuring out how to write a cover letter is a tough task—perhaps even more difficult than writing a resume for some people.

So is there a cover letter secret that can guarantee you will get an interview whenever you are applying with a prospective employer? I know of one magical key to include when you write a cover letter that can increase your chances of getting interviews by 50%.

By following this guide to writing a cover letter, you’ll attract the attention of the employer and have an effective cover letter that will increase your chance of getting an interview.

Writing Your Cover Letter: Asking for the Interview

It seems like asking the hiring manager for the interview would be common sense, but how many job seekers actually ask for the interview when writing a great cover letter? I’m not suggesting that you ask for the interview in the opening paragraph, but including an interview ask is important for having a good cover letter that also stands out. Including the ask isn’t considered rude, forward, or overly direct either! It’s simply asking for what you want—which in this case happens to be an interview. Why else would you be submitting a resume and cover letter?

There are several ways that you can appropriately include the ask, and below I’ll include some specific cover letter examples that you can revise to include when writing cover letters yourself. The important key to remember is to ask for the interview—and the best place to do so is in the closing paragraph at the bottom of your cover letter. This way, the reader will see it and notice it even if they are just skimming the letter.

Close your cover letter by sharing your interest and excitement about the position; use the position title exactly as listed in the job description, and then ask to meet the employer, hiring manager, or person in charge of hiring—in person. Go a step further by providing a phone number where they can reach you directly, and even your email address. You may have included this at the top of your resume already, but it doesn’t hurt to make your contact information as easily accessible as possible to a prospective employer.

By simply ASKING for the interview, you’ve already doubled the chances that you’ll get a call for one. You’re not only showing your direct interest in the position, you’re also showing that you have the communication skills to directly address the issue. If you follow up with the employer within a week to two weeks after submitting your resume and cover letter, you’ll increase your likelihood of an interview with the hiring manager by another substantial percentage.

Cover Letter Writing Examples

Here are a few examples of the various ways you can ask for the job interview:

I’m excited about the Marketing Director position with ABC Inc. and would appreciate the opportunity to speak with you in person regarding my experience, skills, accomplishments, and the specific value I can add to your team. Please call me at 555.555.5555 to schedule a personal interview at your convenience.

The Marketing Director position is a perfect fit for my background. I would love the opportunity to meet in person to discuss how my experience and qualifications can add value to ABC’s team. Please call me at 555.555.5555 to schedule an interview at your earliest convenience.

I’m very interested in the Marketing Director role with ABC, Inc. I believe my 10+ years of marketing experience with XYZ makes me the perfect candidate for this position. I would appreciate the opportunity to meet in person to discuss how I can make a positive impact on your bottom line. Please call me at 555.555.5555 or email me at to schedule an interview. I will follow up in one week to confirm your receipt of my cover letter and resume and to discuss a time and date for the interview.

My ability to rapidly deliver bottom-line results of 25%+ only adds to the value I can offer ABC, Inc. I would like to discuss these specific results and the many others I can offer you in a personal interview. I will follow up with a call on Tuesday to discuss a time and date we can meet to further explain the value I can bring to ABC, Inc.

Double your chances for the job interview by ASKING for it and then be sure to follow up with the employer if you’ve stated you will do so in your cover letter. It couldn’t hurt to follow up anyway one or two weeks after submitting it to ensure receipt of your resume and cover letter.

Cover Letter Writing Tips

Here are a few additional relevant tips for preparing your cover letter and resume:

– There are different types of cover letters—there are networking letters, academic cover letters, application cover letters, value proposition letters, recruiter cover letters, and a type of teaching statement or statement of interest in a potential employer.

– Cover letters need to be free of grammar errors and spelling errors. I would also advise you to avoid using Times New Roman font. It’s very overused. You can choose a different type of font when writing your cover letter.

– Cover letters are great places to address transferable skills if you’re wanting to make a career transition. You can discuss the position description and how your relevant skills and work experience are a great fit for the opening and position requirements.

– When writing about your skills and experience, use action verbs for an effective cover letter. Action verbs always work better for getting attention than dull clichés and lists of common job responsibilities or duties.

– Avoid using a cover letter template. (Ditto for a resume template.) If you go online to look for how to write a cover letter and you copy and paste the content from an online cover letter template, the human resources person scanning your cover letter will know it’s a template. Employers see them all the time and they all start the same: “To Whom It May Concern… I’m applying to your opening for a career counselor.” Or, “Dear Hiring Manager: I saw on Monster.com you’re hiring a career counselor with 10 years’ experience… Please accept this application…” Use a sample cover letter to guide your writing, but don’t just “Mad Lib” a cover letter by filling in the blanks with your information.

– Instead of starting your cover letter with “To Whom It May Concern,” an effective cover letter will start with the hiring manager or prospective employer’s name. Do your research on social media, LinkedIn, or the company website. Research is a very important part of having an effective cover letter.

– A great candidate with solid skills can write a strong cover letter by starting off with an intriguing rhetorical question. An example might be: “Do you need a digital marketer who can double or triple your website conversion rate?”

I can guarantee you that an opening paragraph with a question like that will definitely pique interest with an employer—especially when you end your cover letter with an appropriately strong ask for an interview.

What is a cover letter?

A cover letter is a single-page document that describes your qualifications in relation to a certain job. While your resume describes your educational and career history, a cover letter allows you to present yourself as an individual with unique ideas, ambitions and personality. 

  • Your cover letter should highlight your interest in the position. It should show how your qualities make you a perfect candidate. You can explain any career accomplishments that demonstrate your skills, such as teamwork, leadership or critical thinking. 
  • Your cover letter enables you to focus on a particular job or company. Altering your cover letter to include specific details about the employer can display your attention to detail and interest in the role. Consider including one or two sentences that describe why you want to work for the company. You can write a different cover letter for every job application to ensure you address each business effectively. 

During the recruitment process, a hiring manager may receive dozens or even hundreds of job applications. Instead of reading all of the materials in each application, they will typically review the cover letters first to determine which candidates are worth further consideration. If you have a well-written cover letter, the recruiter may be more likely to read your resume.

Types of cover letters

There are three main kinds of cover letters:

  • Application cover letter: This is the most common type of cover letter, which you submit with your application materials for an advertised job opening. 
  • Prospecting cover letter: You can send a prospecting cover letter to a company you're interested in to see if they may have a job that suits your qualifications. This cover letter will show your desire to work with an organization and help you create a lasting connection with the company contact. 
  • Networking cover letterThe shortest of all three, a networking cover letter is correspondence you can send to your professional contacts to inquire about potential opportunities. It's a formal way to notify your previous coworkers, mentor or other members of your network that you are in the process of finding a new job, and want to ask for their assistance in your search. 

 

What to include in a cover letter

When writing your cover letter, be sure to:

  • Introduce yourself
  • Reference the position you’re applying for
  • Describe your skills, experience achievements and educational background
  • Tell a story or describe a project you’ve worked on
  • Explain why you are uniquely qualified for the role
  • Close with a signature and a call-to-action (such as encouraging the reader to view your resume or requesting an interview)

How to write a cover letter

Whether you love writing cover letters or view them as a chore, many hiring managers still rely on them to gauge an applicant’s personality, attention to detail, and communication skills. The key to writing effective cover letters, then, is to follow instructions and communicate succinctly but with a compelling voice.

Writing an effective cover letter that gets you noticed by employers should include the following elements:

  1. Start by listing your name and address
  2. Include the date
  3. List the recipient’s name and address
  4. Use a standard greeting
  5. Include an opening paragraph about your intent to apply
  6. Write a second paragraph about your education and job history
  7. Focus on your qualifications in the next paragraph
  8. Conclude with what makes you unique
  9. End with your signature.

Let’s look at each of these steps in more detail as a guide for writing a cover letter for your next job application.

1. Start by listing your name and address

As with many standard business letters, you should include a few pieces of information at the top of your cover letter. Some people might center their name and address at the top of the page, mirroring the way it looks on their resume. For example:

2. Include the date

Next, include the date of the day you are sending the letter. The date line should be separated from your address and the recipient’s address.
 

3. List the recipient’s name and address

After the date, you will list the recipient’s name and information. You can find these details by looking at the company’s website or Indeed Company Page. This information will also likely be listed on the job posting.

The top section of your cover letter should look like this:

4. Use a standard greeting

Start by introducing your letter with a standard greeting like “Dear,” or “Hello.”
 

5. Include an opening paragraph about your intent to apply

Write an introductory paragraph that includes the position you’re applying for. You should also include a statement about your enthusiasm in regards to the role and company.

6. Write a second paragraph about your background

Your second or body paragraph should be a brief overview of your background as is relevant to the position. Here, you should include key achievements, skills and specialties that make you particularly suited to perform well in the position. Focus on one or two and provide specific details about your success including measurable impacts you made.

Pay close attention to keywords listed in the job description and include those that you identify within the body of your cover letter. You should only include information about your most recent one or two professional experiences.
 

7. Focus on your qualifications in the next paragraph

Your next paragraph should focus on another key achievement or skills that is relevant to the position. Instead of repeating details from your resume, expand on specific stories or anecdotes that display your fitness for the role.
 

8. Conclude with what makes you unique

Your last paragraph should recap the reasons you are applying for the role and why you would be a great fit. Keep the conclusion brief and explain that you look forward to hearing from the employer with next steps.
 

9. End with your signature

Finally, sign your name after a closing line like “All the best,” or “Sincerely.”

By using these steps, you will be able to write a simple, impactful cover letter that shows employers why you are uniquely qualified for the position.
 

Create a Resume on Indeed

 

Cover letter length

Unless specified in the job description, there is no required length for a cover letter. When determining how long a cover letter should be, focus on the details that are most important for the job. Read the job description closely to identify the best opportunities to illustrate your qualifications. What professional achievements are you the proudest of? Choose one or two and map them directly to the desired experience or qualifications the hiring manager is looking for, using just a few detailed but concise sentences. What attributes is the job description calling for in a candidate? Consider using the cover letter itself as a way of demonstrating those traits.

Don’t reiterate everything that’s on your resume. You want to focus on one or two anecdotes, expanding on how you achieved something specific.


 

Samples to use when writing a cover letter

Here are two examples of cover letters, a traditional version and a less traditional version. First, read the job description on the left, then read the cover letter. In the first example, you’ll see how the writer uses specific phrases from the job description and includes them in the letter. The second example takes a more creative approach. The author tells a personal story and appeals more abstractly to the attributes called for in the job posting. Both are less than 300 words long.


Example 1: Administrative Assistant

Job Description 

In this role, you will be supporting managers and other senior level personnel by managing their calendars, arranging travel, filing expense reports, and performing other administrative tasks.

Strong interpersonal skills, attention to detail, and problem-solving skills will be critical to success.

Qualifications:

      • 5+ years of experience providing high-level admin support to diverse teams in a fast-paced environment
      • High school diploma or equivalent work experience
      • Excellent Microsoft Office Skills with an emphasis on Outlook and Excel
      • Self-motivated and highly organized
      • Team players who works well with minimal supervision

Cover Letter

Dear Hiring Manager,

I am writing to express my interest in the opening for an administrative assistant at ***.

I am drawn to this opportunity for several reasons. First, I have a proven track record of success in administrative roles, most recently in my current job as an administrative coordinator. A highlight from my time here was when I proactively stepped in to coordinate a summit for our senior leaders last year. I arranged travel and accommodation for a group of 15 executives from across the company, organized meals and activities, collaborated with our internal events team, and ensured that everything ran according to schedule over the two-day summit. Due to the positive feedback I received afterwards, I have been given the responsibility of doubling the number of attendees for the event this year and leading an internal team to get the job done.

Hello,

There are least two less-than-obvious ways to improve your vocabulary (and by extension, your copywriting skills): studying for the GRE and becoming a crossword puzzle enthusiast. I’ve done both but for the purposes of this job application, I’d like to focus on the latter.

My grandmother was the best writer I’ve ever known. She wasn’t a professional writer, but she had a gift and a love of writing was something we shared. It wasn’t until last year that I also took up her love of crossword puzzles, and immediately saw how the two went hand in hand. What to avoid in a cover letter

Typically, it's best to avoid the following when you construct your cover letter:

  • Generic phrases: Many cover letters contain basic phrases such as "I appreciate your time and attention" or "I am confident that I can be a valuable asset to your company."   1. Follow the employer's instructions: Your potential employer will most likely provide instructions for submitting your job application. These directions can be very specific, such as submitting your cover letter as part of the body of your email or as an email attachment.
  2. Use a professional email address: Your email address should be simple and professional. Consider creating an email address that includes a combination of your first and last name.
  3. Create an informative subject line: The hiring manager is more likely to open your email if it has an informative subject line. Your subject line should include your full name and the position you are applying for.
  4. Save your cover letter correctly: If you are submitting your cover letter as an attachment, make sure you save it as a .doc or .pdf to retain its original appearance. Choose a file name that includes your full name and the words "cover letter," such as "David-Wong-Cover-Letter."
  5. Write a short email message: Include a short message to thank the hiring manager in advance for their consideration. If you attached your cover letter, inform them so they can locate it. 
  6. Send the email to yourself first: To ensure all of the information retains its format, send the email to yourself first. You can check again for spelling errors and that you attached the cover letter properly.

Final cover letter tips

Here are five guidelines to keep in mind when writing a cover letter.

  • Customize your header based on your application format
    If you’re writing your cover letter directly within an online job application, there’s no need to include your address or other contact information, as you’ve probably already typed that into other areas of the application form. If you’re including your cover letter as an attachment, you can use the same heading as your resume.
  • Use an appropriate greeting
    If you know the name of the hiring manager for this job, begin your cover letter by addressing them directly (Example: Dear Jane Smith). If you don’t know the name of the hiring manager, you can begin your letter with a simple “Hello,” or “Dear Hiring Manager,”. Get a feel for the company’s culture when deciding how formal your greeting should be. More formal introductions such as “To Whom It May Concern:” or “Dear Sir or Madame,” can come across as too stuffy for some organizations, while greetings like “Hey!” and “Hi there,” are almost always too casual for a cover letter.
  • Avoid generic references to your abilities
    Whenever possible, tell meaningful anecdotes that tie your skills to concrete problem-solving activities or tangible business results you’ve worked on in your career. Any candidate can say they possess a desirable skill. To make an impact, you need to show hiring managers examples of your skills in action. For example:

    Too vague: “My skills would be a great fit for your organization.”

    More specific: “In my role as a sales associate, I am frequently required to provide exceptional customer service on short notice. Exceeding customers’ expectations is a point of personal and professional pride for me, and this is a skill I’m eager to continue developing.

    Too vague: “I’m a proactive team player.”

    More specific: “In my current job, I proactively jumped in to help launch an internal recycling and waste reduction initiative. Together, our team contributed to a 25% reduction in solid waste production within the company.”
  • Proofread before you submit
    Reread your cover letter several times before submitting and keep an eye out for errors of spelling, grammar, or punctuation. Reading the letter aloud can help you pick out awkward phrasing or too-long sentences. There are certain common errors that we all have a tendency to gloss over, so make sure to do a slow, deliberate reading that examines each word. If your salutation includes the hiring manager’s name, triple-check the spelling.
