What to Include in Your Thank-You Note

Be specific about the project, and each individual’s contribution. Especially if the employees aren’t direct reports, mention what made them stand out, and be sure to copy their supervisor as well. 

In your note to the supervisor, you should praise by name any individuals on the project who really impressed you, as well as your appreciation for his or her management of the overall team.

Personalize Your Thank-You Notes

How to Send Your Note or Letter

You can send the notes via email or as a card or letter. If the person or team you are congratulating are not your direct reports, be sure to copy the team's or individual's supervisor as well so that the recipient knows that their good work is being noticed by management.

Offer encouragement for continued hard work, and your belief in their ability to continue to succeed in the future. Express your appreciation and faith in their talents.

Thank you to employees – Team and Individual Thank You Note Examples

If you are a boss, I encourage you to thank your employees often. You could send them an appreciation message via email or write them a handwritten note.

Some things you can thank them for are their hard work, good customer service, excellent performance, and years of service.

National Employee Appreciation Day is celebrated the first Friday in March in the United States and Canada. While I recommend thanking your employees year round, do not neglect to thank them on National Employee Appreciation Day.

I have been an employee for over 20 years. As an employee, I can say that being thanked and appreciated feels good. I also have a better impression of the bosses I’ve had that say “thank you” on a regular basis.

Some bosses may feel that employee’s salary is a thank you. Salary is expected in exchange for doing the job. Money isn’t everything. Saying thank you shows appreciation for the work that is being done.

How to thank your employees

Thanking your employees for something specific is best. If you say “You are great, Thanks for all you do” the employee may wonder if you know how they spend their time. It’s too generic to be meaningful.

Thank-you emails can also be sent out to the entire team. And it’s also nice when the boss brings in breakfast (bagels, donuts, healthy version of breakfast) to the office on the day he is thanking the team. Including why the team is being thanked is beneficial. For example, you can thank them for completing a large project or putting in extra time at the end of the quarter to get the work done.

When thanking one person, I recommend a handwritten thank you note. Almost anything handwritten stands out above email. If you work in the same office location, you can hand deliver it or leave it for them as a surprise on their desk.

Regardless if you choose to send via email or handwrite the note, remember that others may see your note, so don’t include anything you would consider confidential. If you want to thank them for something that needs to remain 100% confidential, I recommend doing so in person in a private setting (ex. your office, conference room, etc.).

Another idea is to take the team or individual out to lunch (and hopefully you will receive some follow-up thank you notes!) or dinner. Choosing dinner or lunch will depend on your team members. Some team members have obligations outside of the work day that will make it difficult or impossible to attend (ex. family/children) or they might not want to spend any time outside of office doing a “forced” work event.

If you have the power, letting your employees leave a couple of hours early (paid, of course) is usually appreciated!

Thank you to each of you for all of your hard work on [project name]. Because of your extra efforts, we were able to meet the deadline. [Client Name] is very pleased with the presentation and promotion materials. You’ll find some bagels and donuts for your enjoyment this morning. And we will plan a team lunch to celebrate soon!

The productivity of our team during [Month of year] exceeded the internal goal set by management. I thank all of you for focusing this month on the project work that matter the most and contributed to revenue. The exercise we did on setting priorities was worthwhile and I appreciate that each one of you embraced the change. I am happy that you are on my team!

The dedication this team has to each other is amazing. Once again, I watched you all pitch in and help each other to meet the goals for [project]. I was also impressed that you worked together to solve problems together and then presenting me with a list of possible solutions.

Thank you team for coming together when we had the crisis with [project/Customer situation]. I was impressed that all of you put in extra hours without complaining (at least not to me!) to get the work done to resolve the situations as quickly as possible. I spoke with [boss’s boss’s name] and she has approved for each of you to have 2 hours off on a day of your choosing. We will just need to coordinate to make sure you don’t all choose the same day! Thanks again for your dedication.

I appreciate the efforts of each you in the past year. I am proud of how you all pulled together as a team after the reorganization. You’ve proved that new teams can be successful quickly while working on [project name] together. I am looking forward to the coming year and seeing how far we can go together. Keep up the good work!

Your teamwork during the past week was very impressive. I am grateful for all you all pulled together to get the work done for [Client name]. Because of your hard work, we’ve been able to secure the contract with [Client name] for another year.
