Whether you're leaving your job or writing a goodbye letter to a colleague who is moving on to something else, you'll find a variety of sample letters and email.
When you leave a job – whether it's because you're retiring, returning to school, have accepted a new job, or are just moving on in general – it's a good idea to send a farewell letter to your co-workers.
Your farewell note is the perfect place for you to thank co-workers for the opportunity you’ve had to work together. It's also a place to share contact information.
While you may tell many colleagues that you're departing the company in a face-to-face conversation, sending a letter (either by email or traditional snail mail) ensures that everyone knows the news.
You should use your judgment to decide who should receive a farewell letter. If you have a small office, you might send it to everyone in the company. However, for larger companies, consider just sending the letter to your immediate group or team, or particular people whom you have worked closely with during your stint at that company.
It's a good idea to send your farewell letter as close as possible to your last day of work. Preferably, your coworkers will receive the letter on your last day (or second-to-last day), when you are finished with your duties. That way, you have time to say goodbye to people in person.
You can send a goodbye letter or email. An email is an easy way to efficiently tell everyone about your leaving. However, if you send an actual letter, make sure people will receive it before you leave, so they have time to say goodbye in person if they want to.
If you choose to write your farewell letter on paper, you might consider placing each letter in your coworkers' work mailboxes (rather than mailing each letter), to save time (and money on stamps).
Whatever the reason for your departure, here is the most important information to include in your note:
You can use a template as a starting point for your own letter. However, you should always personalize and customize your letter, so it reflects your work experience and your relationship with your coworkers. For example, if you don’t want to include a phone number in your own farewell letter, you don’t need to do so.
Subject: Your Name - Moving On
Use the first paragraph of your farewell letter to let your coworkers know that you are leaving the company. It's fine to tell them where you are going and what you will be doing. However, don't mention anything negative about your present employer or why you are moving on. You should also mention the specific day you will be leaving, so your coworkers have time to say goodbye if they wish to.
In the second paragraph, thank your coworkers for all the support they have provided you. Mention that you have enjoyed working with them and you'll miss them, even though it’s time for you to move on. Depending on the number of coworkers you have, you might want to individualize this paragraph for each person, specifying something in particular that you appreciate about each coworker.
The third paragraph should let your contacts know where they can reach you. Include your personal email address, phone number, and LinkedIn URL.
In the last paragraph, reiterate your thanks.

When Marissa Mayer left Yahoo in June, the infamous micro-manager sent her staff a 1,000 word, 24 bullet point diatribe.
Sean Spicer commemorated his six months as Donald Trump’s press secretary with a glaring typo; a fitting endnote, some would say, for a guy who twice Tweeted out what appeared to be his password.
For most of us, a farewell email as you’re approaching your last day is the easiest way to let your company know you don’t curse the day you were hired. Plus, you can provide your contact information, which is important for future networking opportunities.
Despite their importance, a farewell message is generally not worth stressing over — but since you’re probably going to anyway, we asked some career experts how to go out on a high note.
For starters, it’s important to be selective about who you’re sending your note to.
And who you send it to depends on your job title.
If you’re an executive, firing off an all-staff missive is par for the course.
For the rank and file employees, sending a mass email looping in all the people whose names you never cared to learn can make you seem a bit big for your britches.
Whittle your “To:” field down to coworkers you actually work with — the people who could give you a solid character reference, if it came to that. If your tenure was short, that list should be as well.
“If you’ve been there for less than three years, I wouldn’t even contemplate sending an email to the whole company,” says Tom Gimbel, a careers expert and CEO of the staffing firm LaSalle Network. “I’ve had situations where someone who was with us for three months sent an email about how they made some of their best friends here. It comes across looking kind of goofy.”
Tone-wise, you’ll want to be pretty chill about the whole thing. And you definitely want to leave a positive impression.
Reddit’s chock-full of admirable attempts at sticking it to the man via goodbye email. But even if the job was a nightmare, using email to “mic drop,” or say anything negative for that matter, is a resoundingly bad idea.
“Your digital footprint is permanent,” says Katie Smith, EVP of the compliance software company Convercent. “Be wary of using it as an opportunity to broadcast complaints or regrets. You don’t know what your former colleagues will do with your words once you’re gone.”
So what does belong in a goodbye email?
Before we get into the subject and the body of the message, so should mention that it is completely fine to send this message from your personal email address. This leaves the dialogue open for responses long after you’ve packed up your things.
Now, onto the actual email.
The key thing here is: be honest and positive. If you can’t honestly say anything positive, then your email should be extremely short.
To start, the subject line of your goodbye message should be clear. Something along the lines of “Thank You and Farewell” is short and sweet, yet still gets the message across.
To open the message, express your gratitude and briefly explain why you are leaving and if you’re taking on a new position. Also, include the date of your final day, so there are no loose ends.
It’s good to rattle off a few accomplishments you’re proud of — reminding people of the projects you helped bring to life will help keep your contributions top of mind for your growing career network. This isn’t a cover letter, though, so try not to sound like you’re selling yourself.
To make your final goodbye a little more personal, consider including a funny moment that you’ll cherish, or mention the best parts of working there that you’ll never forget.
Don’t go overboard on accomplishments or personal stories. In most cases, experts agree, the shorter the note, the better.
Close out your farewell letter with a sincere “Thank You” to your co-workers for the opportunities, support, and companionship they gave you.
Wrap it up by throwing in your personal contact information, including your email address, phone number, and social media profiles (if appropriate).

The most important thing is to close out on a positive note. If you do that, you’ll be leaving the workplace on the right foot.
So you don’t have to start from scratch, here is a sample email you can use as a template. In this email, we are assuming you are close with your coworkers. If you are not close with your coworkers, remember the #1 rule: be honest!

As you probably already know, I am leaving [company name], my last day will be [date]. I want to use this email to thank everyone for everything you have done for me while in this position.
I have accepted a job offer at [new company] as the [new positition title]. While I am very excited for this new opportunity, I will look back at my time with [company name] with fond memories.

But outside of what we achieved, I will never forget [funny moments or inside jobs – remember, keep your audience in mind and don’t offend anyone].

When leaving a job, you may want to write your coworkers, boss, or employees a farewell message. You may also want to say thank you in your message.

At the office, the farewell message is usually sent via email when sending the same message to a group of people such as a team or others that you had contact with. You can add additional paragraphs to any of the samples if you desire. You can also combine wording from different examples into your note.
Note: This section of examples is for when you are sending one email to multiple people. Since its being sent to a group, you will not be thanking anyone for anything specific. Some of the examples will feel generic and simple. These emails are more casual and could be for a boss sending an email to employees or coworkers to coworkers.
