Appointment request letter is a formal letter one creates to request a meeting with I will call your office line before (date) to confirm the details of the meeting.

Knowing the steps of how to properly confirm an appointment – – any kind of appointment, including a phone appointment, client meeting, lunch meeting, etc. – – is extremely valuable to any office looking to continue to operate efficiently and effectively. However, I have found that a lot of people don’t do this (or don’t do it properly) and this can result in a lot of disruption in the office.

Whether or not you are the one responsible for confirming appointments, if you know that your office could benefit from a makeover in your confirmation process (or if you simply want to make sure that your current process is in line with ours, which is proven and tested to work), then read on to find out the steps to properly confirming an appointment.

Why is Confirming So Important?

The process of confirming appointments are important for several reasons. You schedule your client appointments and anticipate potential revenue that might come in from that appointment. When a client is a no-show or cancels an appointment at the last minute, it creates a gap in your schedule that might not be able to be filled with another appointment to make up that revenue. If it happens once in a month, that might not be too devastating. However, if it happened 4 or 5 times in a month, what would that look like at the end of the month in terms of your lost revenue for the month?

Another reason why it’s important to confirm appointments has to do with something that not a whole lot of professionals think about and that’s a level of efficiency. If you are booking your calendar in a way that allows you to operate efficiently and at the highest and best use of your time, then you should have a calendar template for when certain activities can take place. This includes telephone calls and client meetings, as well as your preparation time for them. For example, let’s say that you have a phone call or meeting that you have to prepare for. You block some time the day before (or maybe even right before) to properly prepare yourself for that appointment. And let’s say that the appointment was not confirmed and the other party doesn’t show up or is not available. You’ve now effectively wasted not only your time to prepare for the appointment, but now you’ve got a gap in your schedule. It’s a gap that might not be too devastating to you because you might have some things you wanted to work on, but it is still disruptive to your workflow and schedule, as well as your general thought process and stress level!

It Starts at the Beginning.

The appointment confirmation process truly starts at the beginning stages of even booking an appointment – – both with the other party, as well as within your own internal calendaring. When booking any kind of appointment, it’s always smart to follow-up in a written form of some kind (letter, postcard, e-mail, or text message) with the other party to confirm the following details:

  • Day of the appointment
  • Date of the appointment
  • Time (including time zone, particularly if you’re working with people that might not be in your time zone)
  • For in-person meetings, the address and location
  • For telephone calls, the phone number and who will be initiating the call
  • If appropriate, briefly (in a few words) what the phone call or meeting is about

Once these details are confirmed, then it’s important that these details be transferred properly to your internal calendaring. For example, whenever I book an appointment on Phil’s calendar, it might look something like this: JONES, ROBERT & MARY: MTG TO DISCUSS ADV LEVEL PLANNING (TORRANCE OFFICE). A phone appointment might say something like this: PC WITH ROBERT KEEBLER RE: UPCOMING TRIP TO GREEN BAY (PJK TO CALL RSK AT 920-593-1700)

Then, for added detail and assistance in the confirmation process, in the internal notes section that only I can see for this appointment, I might have additional notes (such as who is the person that booked that appointment, who is the person to contact, where to call and/or e-mail to confirm the appointment, etc.).

The more details that you can leave for yourself, the easier the next steps will be, as you will see.

A Day (or Two) Before the Appointment.

A day or two before the appointment, you should take the time to confirm the appointment by phone. This phone confirmation should happen with a live person to confirm the day, date, time and details of the appointment. All too often, people are okay with leaving a voicemail or message to confirm the appointment. This should always be a last resort, after you’ve attempted to reach the client by phone at least once or twice. This is also why it’s good to start the confirmation process a couple of days before. This also gives you plenty of time to fill open calendar spots where necessary, especially for client appointments where you may have been anticipating some revenue from the business you would have received from that original appointment, which may cancel or reschedule.

If you do have to leave a voicemail or message, it’s also good to follow up by e-mail. Some people are not very good about checking their messages, so an e-mail is a great way to confirm.

What About E-mailing Confirmations?

E-mail confirmations are perfectly acceptable, depending on the type of contact that you’re confirming with. For example, if it’s a business meeting and perhaps you even arranged the phone call entirely through an e-mail exchange. If that is the case, then an e-mail confirmation is completely fine. With client appointments, it most likely is better to confirm an appointment by phone, particularly so that if they try to cancel or back out, you can speak with them about the reason why and try and reschedule them for another time.

As with phone confirmations, it’s important to remember that an appointment is not truly confirmed until you have received a verbal (or written) confirmation from the other party. If you do choose to confirm an appointment via e-mail, you might want to make sure that you send that confirmation earlier in the week (a minimum of 2 days before) and to make sure that you receive some kind of response. If you don’t receive a response from that person by the day before the meeting, take the time to call them and confirm their receipt of your e-mail and confirmation of the appointment.


As you can see, the “art” of confirming appointments isn’t really much of an art. It’s really just an important process that is essential to just about any kind of business which is often lost or overlooked. A lot of people don’t realize or see the impact of overlooking such a basic process or have accepted the shortcuts that so many people take because they don’t understand or see the importance of the appointment confirmation process.

Hopefully you will take a quick look at your appointment confirmation process and determine whether or not your process might need some “tweaking” so that you can maximize the level of efficiency in your office and see a reduced amount of appointment rescheduling and cancellation.

Expected Outcomes

Rather than insisting on receiving a confirmation, we consider an event confirmed when both the calendar invite is “accepted” and our virtual executive assistants have sent out a confirmation email. This means that even if the contact does not respond to the confirmation email, we will consider the appointment set.

One of the following scenarios outlined below will result from sending the confirmation.

The contact replies before end of day:
  • and has replied with a quick email saying: “Confirmed.” In this case, you have fully confirmed the meeting.
  • but must reschedule. Your assistant should then delete this appointment from the calendar and reply with an email to begin rescheduling.
The contact fails to reply by end of day:
  • but the calendar invite has been accepted. In this case, we assume the meeting is still happening.
  • and the contact has not accepted the calendar invite. This should be treated as a red flag to your assistant. By being sensitive to these situations, your assistant can alert you as soon as possible to the possibility that the meeting might not be happening.

If you prefer to exercise a greater degree of control over client booking, you can limit online booking to requests only. This will give you the flexibility to adjust appointment times and staff schedules before bookings are finalized.

Before you start

  • For staff to modify and respond to appointment requests, the "Manage appointment requests" staff permission must be enabled.
  • For staff to apply a payment to appointment requests, the "Apply payment" staff permission must be enabled.
  • Viewing and responding to appointment requests can only be done through the MINDBODY desktop software.

Step-by-step: Enabling appointment requests

The video above showed you how to enable appointment requests and get started approving appointments. If you'd like to follow along with the written steps, this and the section that follows will show you how to proceed.

Go to the Manager Tools screen, and then:
  1. Click on the Settings button, then Appointment Options.
  2. On the Appointment Options screen, expand the Appointment System Policies section.
  3. Uncheck the box next to the "Allow Client Booked Appointments" option to disable the feature.
  4. Click Update.
This will restrict clients who log in to consumer mode from booking appointments directly, limiting them to making appointment requests.

Viewing and responding to requests

To view appointment requests, log in to your site and go to your appointment schedule. You'll find the appointment requests icon at the bottom of the sidebar on the left-hand side of your screen.

As new client requests come in, you’ll see a red indicator pop up to tell you how many new requests are pending. To manage these new requests—and any others that are waiting for your response—click on the appointment requests button and then choose either “Show appointment requests” or “View all appointment requests” from the menu.

Each of these will be examined in greater detail in the sections that follow.

Show appointment requests
This option displays appointment requests on top of your existing appointment schedule so that you can spot any scheduling conflicts at a glance.

Clients can request the same time and date if the time slot has not been booked yet. If two clients requested appointments on the same date and time, you'll see the requests side by side. 

  • Click on your appointment schedule to see the requests. Click on any requested appointment to check out the scheduling details (1).

  • To respond to single appointment requests:
    • You can edit the appointment details directly from the sidebar. This includes: start time, appointment length, appointment type, the room assigned to the appointment, and the appointment notes. You can even drag and drop the appointment to a new slot on the staff member’s schedule, or reassign it to a new staff member entirely (2). 
    • Then, when you’re ready to make things final, click either Deny or Approve at the bottom of the sidebar (3).                                
  • To respond to a recurring appointment request:
    • Click the Respond to Request button at the bottom of the sidebar (4).
    • This takes you to a new screen, where you can alter any appointment details you wish, choose whether or not to apply the payment to the appointment, and then confirm or deny the request (5).                           

If you no longer want to see requests on the schedule, you can click the appointment requests icon and choose “Hide appointment requests.”

Note: If the client requested an appointment but didn't specify a staff member, the appointment won't show up on the schedule as modeled above.

View all appointment requests

This option displays all appointment requests in a list, with the oldest request at the top. You’ll be able to see:

  • The date and time that the appointment request was made
  • The requested date and time for the appointment
  • The appointment type
  • The client’s name and contact number
  • The requested instructor
  • Whether the request is for a single or recurring appointment
  • Whether or not the request was made online
  • The price of the appointment
    • If tthere are several pricing options for the appointment type, the price shown will be the highest single session pricing option that pays for the appointment

If you can tell by looking at these details that you’ll need to deny the appointment, click the red “X” on the left side of the screen.
If you would like to view the appointment, or confirm it on the schedule, click the “Confirm/Deny” link on the far right (1). This will take you to a new screen, where you can review the appointment request details and make modifications to the appointment details if needed.  You can also select a room, or edit the appointment notes.
When you’re ready to make a decision about the appointment, just choose whether or not to apply a payment, and then click the Confirm or Deny button at the bottom. 

Once you confirm or deny a request, it will be removed from the Pending Appointment Requests list. If you’ve confirmed the appointment, it will now appear on the appointment schedule.

Additional information about appointment denials
Appointment denials by staff members will remove the request from the database. At this time, there is not a way to search for appointment denials or a report that will bring them up.

To track appointments that have been denied by staff members, you can enable the Appointment Request Denial auto email. This way, if a staff member accidentally denies a request, there will be a contact log of the request. In order for this email to be recorded, the client will also have to opt into email notifications.

For clients who have requested an appointment but have canceled the request, the request will appear as a cancellation on the client's profile and will appear on the Cancellation report.

Applying payment

If you check the apply payment box and then confirm the appointment from the Modify Appointment screen, the client will be paying for the appointment up front. If the client has a current pricing option that can cover the appointment, then a visit will be deducted from that pricing option. If the client does not have a current pricing option that can pay for the appointment, you will be taken to the Retail screen so that the client can buy one.

You can also apply a payment to the appointment after you've confirmed it. Just click the appointment, and choose Apply payment in the action menu. This option will appear only if the client has already purchased a pricing option that can pay for the appointment.

Appointment request auto emails

If you use appointment requests, you might want to enable the following auto emails:

  • Appointment Request Confirmations (Recurring)
  • Appointment Request Confirmations (Single)
  • Appointment Request Denial
  • Appointment Request Notification

These auto emails send to your clients right away, so that clients always know the status of their appointment requests without your staff members needing to pick up the phone.
