You’re trying to cancel your old car insurance because you found a much cheaper policy by comparing quotes on Compare.com. But when you call to cancel, the rep says they need an official insurance cancellation letter.

What? You can’t remember the last time you wrote a formal letter. Don’t worry! We’ve done all the thinking for you.

What’s the Point of an Car Insurance Cancellation Letter?

Why do some insurers require written notice of cancellation? Well, your auto insurance policy is an official contract: a legal agreement between you and the insurance company that protects you against financial loss in the event of an accident, bad weather or theft.

That’s a big deal. It means that your insurance company actually can’t cancel your policy, if it’s been in effect for more than 60 days. The exception is if you do something major to break the terms of the contract, such as not paying the premium, committing insurance fraud, lying on your application, or getting your license suspended. Your insurer also can decide not to renew your policy after the term ends.

Otherwise, only you have the power to cancel your policy. Some insurance companies will accept a phone call or an email as sufficient notice of policy cancellation, but others still want that letter — signed, stamped and mailed. Here’s how to write it.

How to Write a Car Insurance Cancellation Letter

Step 1. Make sure you have your new policy all lined up. You don’t want any lapse in coverage when you’re switching car insurance companies. As little as one day or a week without insurance is a red flag to insurers, who may raise your rates in the future because of that lapse. Even if you don’t have a car at the moment, or you’re not driving for some other reason, you want to stay insured.

Step 2. Get your dates straight. To avoid a lapse, make sure you know the date your new policy begins — and have your old policy end on the same date, or the day after. It’s better to have a small overlap than a lapse of even 24 hours.

Step 3. Call your current insurance company. Ask the rep what information must be included in the cancellation letter, and get the right mailing address, too. The corporate address you find online may not be the correct one.

The good news is that cancellation letters don’t have to be typed on a computer. It can be a little trickier, but you can do it! Here are a few possibilities:

  • Hand-write it: A hand-written letter should be acceptable, as long as it’s written carefully and neatly; just follow the template above
  • Write it on your phone: You can use a basic word processing app to create a car insurance cancellation letter, then print it using Google Cloud Print (for Android) or AirPrint (for iOS). Just remember you’ll need a WiFi-enabled printer that’s compatible with a printing app
  • Write it at the library: It should only take about 15 minutes to write your letter on a library computer, then print it. Most libraries charge a small fee for printing, just 10 or 25 cents per page. When you’re done, remember to save your letter on a flash drive or in your email. Don’t leave it on the public computer, where other people could access your personal information.

You shouldn’t try to hide anything in this letter. Explain exactly the thought process behind the move. If you simply write that the bonus is cancelled, employees will wonder why and start questioning every move you make. Not only is this bad for morale, it also fosters distrust and spreads misinformation.

Both of these things you want to avoid. So, explain that the best way to cut costs is to cancel the yearly bonus and that, by doing so, you can keep the staff.

After you explain this, lighten the mood by explaining that this is a one-time move, and not one that anyone is happy with:

“As you know, this is the first year that [COMPANY NAME] will not give out bonus checks. We hope that with your continued support and hard work we will be able to return to our yearly bonus system next year.”

This explains that the hardship the company is facing is temporary and that the move to cancel bonuses will not be a permanent policy on the books.

If done correctly, you can help negate some of the negative feelings that this letter might cause. Again, don’t try to sugar coat things here. You need to be honest, but delicate, in your approach.

A Bonus Cancellation Letter: The Ending

The ending of the letter is by far the easiest part. All you need to do is sign off like you would with a normal letter.

Also, feel free to add another paragraph where you explain where people can get more information about the move. You can offer to meet with concerned staff members, for example.

The point of the letter is to be informative, but some employees will have questions that need answered. Again, this is largely to help negate the downsides of a move like this. You don’t want your staff members spreading rumors that there will be layoffs because of the bonus cancellation or anything of that nature because it can make negative feelings spread throughout the organization like wildfire.

Bonus Cancellation Letter: The Final Say

When it comes to writing a bonus cancellation letter, remember to keep it short and to the point. Don’t try to insert small talk into the email because this will just waste and time potentially confuse your staff.

You need to get right down to business.

Start by explaining that the year has been hard on the business for whatever reason. You can go into as much detail as you like here, but the important thing is to attempt to keep everything brief. Say that is happening, say how it happened, and then move on to the next paragraph.

Over the next two paragraphs, you need to quickly explain that the business has had to enact cost-reducing measures to ensure that the company will not have to hold a layoff or RIF event. And, because of these measures, yearly bonuses will be canceled.

Once you do that, move to another paragraph and explain that this is a one-time move and that you hope to reinstate the policy next year when finances even out. This part of the letter should be hopeful but not a lie.

After that, all you have to sign off or give employees a way to reach out with questions.

If done properly, the letter should get the message across in a way that is easy to understand and digest.
