Quick email messages about company happenings have become a common method of communication in offices, but this casual form of communication is not suitable for all occasions. While informal emails may have replaced the interoffice memo in some situations, business memos still have a place in the office. Business memos follow strict guidelines in terms of format, with a header, opening, summary and closing. The business memo should be formal, and managers may send the formal document to employees via email.
When management changes a company policy that affects all employees in an organization, a business memo is an appropriate method to disseminate the information. The business memo provides the formality and authority a company-wide policy change requires. Managers and supervisors can post the business memo in an area visible to all employees.
A business memo is an appropriate type of communication to use when making company announcements such as an employee promotion. Companies also use the business memo to welcome new employees who will fill a vital role in the organization. The business memo documents the important announcement. Email can serve as the delivery method for a memo, but the memo should be written in a formal business format. Business memos can also announce a new product line for the company. Management can also send out a business memo to announce that the business hit a target or goal. Other company announcements may include holiday parties, new benefit programs, stock information or the acquisition of a new client.

While a targeted search for a specific memo based on attributes such as “Document name”, “Author”, “Creation date”, or “Memo title” is realized within the “Overview of memos”, the search for actual words or strings in the memos themselves is realized using the Lexical Search function – unless a standard search in the “Preview” column, which includes the first 63 characters of the memo, is sufficient.
To search in the memo text, select Analysis > Lexical Search and enter the search word or words.
If you want to search in the memos, you must specify In memos as the search criterion in the Lexical Search window; otherwise the search will take place in the documents themselves.
The results are shown as a list of all memos that contain the search string in the memo text. This table can be worked with as described above. You can sort, jump to the document, edit the memos, etc.
Tip: A single click in the results table will highlight the memo in MAXQDA and in case of an In-Document Memo the “Document Browser” will be scrolled to the memo icon. A double click will open the memo and highlight the search hit.

The key to an effective internal memo is keeping it simple. Your message should be concise and delivered in an uncomplicated format that gets the message across clearly. An internal memorandum sample could be sending the results of a company-wide survey of the cafeteria lunches and the new, improved menu.
You can quickly create your memo template in Word or find an internal memorandum sample online. The heading of an internal memorandum has four key components. The first is the recipient or recipients of the memo, preceded by “TO.” The second is the source of the memo, preceded by “FROM.” The third is the date, preceded by “DATE” and the fourth component is the subject of the memo, preceded by “SUBJECT.”
You should use the recipients' proper titles and names. For example, if Tom Maxwell is the chairman, then he should be listed as “Tom Maxwell, Chairman.” If there are too many names, you can use “All Staff” or “Department Heads” for the sake of brevity. You should also identify yourself as the source of the memo. Your name and title follow the heading “FROM.” You don’t have to sign off at the end of the memo but can add your initials next to your name as a form of authentication.
The subject of the memo should be descriptive of its content. Rather than using general terms like “Policy,” you should write a short phrase such as “New policy effective June 1, 2018.”
A memo template in Word can give you formatting advice, but it won't give you advice on content. As a rule always be concise. Your internal memo should have a one-paragraph introduction which outlines the purpose of the memo. Then you should describe what prompted the memo.
