Writing Tips for Cancellation Letters

The goal of writing a cancellation letter is to make a clear and succinct request, with no room for misinterpretation.

Content and Tone

Keep the tone of a cancellation letter professional and neutral. This isn't the time to send a long complaint letter to the company even if the reason for your cancellation is poor service, although saying a few words about the cancellation reason is useful.

Keep it simple, straightforward and to the point. State clearly that you are canceling your contract and include a simple reason why. If you owe any money on the account, request a final bill or enclose the payment.

Letter Format

Cancellation letters should be printed in black ink on an 8 ½ x 11 piece of paper or business letterhead. Use a 12 point font, the standard size for easily readable type, and choose a simple font such as Arial or Times New Roman. These are standard business fonts.

There are several ways to format a business letter, but one of the easiest methods is the block format. In this format, you single space the entire letter, leaving approximately 6-8 lines between your return address and the business address to whom the letter is addressed. Double space, type your salutation, double space, and begin.

Other Things to Note

Don't tear up or get rid of your original contract, no matter how tempting it may be. Retain the original contract and save copies of the cancellation letter and any correspondence in a folder.

Even after the company confirms cancellation, retain the records for at least several months in case they make a mistake and bill you or open the contract again. You'll need records to prove the date of cancellation. It's also good to send your letter via certified mail. It costs a bit extra, but you receive a signed card back in the mail proving that your letter was received.

Read the Contract Before Canceling

Always read your contract carefully before sending a cancellation letter. Some contracts have provisions under which you may or may not be able to cancel. For example, a contract may cover a certain period of time and allow early cancellation only if you experience poor service. In that instance, you certainly don't want to write something like, "Although your service has been excellent..."

If there is a legitimate service issue, state it concisely, and cite the portion of the agreement that allows you to cancel under those circumstances. Otherwise, it's best not to elaborate.

Look at your contract

Somewhere, in the recesses of your file cabinets or drawers or inbox, your existing contract sits. Find it immediately and search for any language that pertains to its cancellation policy.

Unfortunately, many gyms will make it very hard on you and will institute clauses such as a requirement of one month’s notice before cancellation. Others require extenuating circumstances, like a move, disability, or death, in order to cancel (though, there are exceptions, like if you were misled about your contract’s language or you’re still a very new member).

In order to cancel your contract, you may have to send a letter to your gym by way of certified mail. Certified mail provides proof that they’ve received the letter (other gyms may specifically require in-person or over the phone can cancellations, so read your contract or the gym’s website carefully). Here’s how a couple major gym chains practice their cancellation processes (note: cancellation policies may differ if your gym is a franchise versus a corporate-owned location, as well as by membership level).

Equinox

Equinox allows members who’ve belonged to their gym for longer than one year to cancel at any point in time, as long as they provide sufficient notice (according to one copy of the contract, it’s 45 days in advance) and paying a prorate to stop billing.

If you’ve been a member less than a year, you will have to have an extenuating circumstance, like a move 25 miles away from any Equinox location (you’ll have to prove a move with a utility bill or letter from your HR department confirming your move). You can also bring a doctor’s note that proves you can’t work out for six months.

Planet Fitness

Planet Fitness’s cancellation language is as follows:

“To cancel your monthly membership and stop the billing of the Monthly Membership Fee on or around the 17th of the month, the club must receive written notification delivered to the club by the 10th of the month either in person or preferably via certified mail to the club address listed above. Please note it may take up to seven (7) business days for any membership or billing changes to take effect.”

In other words, you’ll have to cancel and give notice at least a week in advance of the billing period. Also, if you’re set up for a minimum number of months (like you paid a year in advance) and cancel well before that’s up, you’ll be charged $58 for it.

If you’re set up for annual auto-enrollment, you’ll have to provide notice before the 25th of the month before you’re re-enrolled.

You can get out of cancellation fees if you provide proof of a move 25 miles away from any Planet Fitness location if you’re disabled, or well, you die. “In case of death, your estate must provide written evidence,” the contract reads, so tell your family now!

24 Hour Fitness

If you have a basic month-to-month membership with no minimum term, you need only provide 24 hours (lol) notice. If you are committed to a year-long membership, you may have to pay 50 percent of the remaining balance, according to one former 24 Hour Fitness trainer. You can get it out of it, again, through a relocation, disability, death, or military deployment.

Write your letter

If you know the terms of your contract and it requires this type of notification, the next step is to send your certified mail in the form of a letter of intent. What does this entail? Redditor u/krurran recommended a simple template which includes the following:

If you’re a member at a larger gym chain, talk to a higher-up instead of a membership advisor, too. Sometimes, it’s just a mistake. I canceled an Equinox membership once and confirmed with an advisor that I would not get charged several times (I got charged anyway). If your gym is still after you, even after completing every step, dispute the charge with your bank. Ask for a chargeback, cite your reasons why, AND contract language stating you fulfilled every stipulation. Your bank should reach out on your behalf. Also, ask your bank to not authorize any future transactions from the gym so you can avoid other charges.

Whatever you do, don’t cancel your credit card to solve the problem (they may issue your “missing” payments to a debt collections agency). And try your best to keep copies of everything, including emails—you may need them one day to disentangle yourself once and for all.
